About us 

The MT Data group of companies (MT Data) is a subsidiary of Telstra Group Limited. We have our headquarters in Melbourne, Australia and have offices in other locations across Australia, as well as New Zealand. The nature of our business, the type of work we do, our business partners and the types of clients we work for are outlined on our website https://mtdata.com.au/. 

We are privileged to work with many of Australia’s leading businesses, helping them to understand and analyse their data to maximise efficiencies, reduce costs, enhance safety, and meet compliance needs. 

Purpose  

The purpose of this Privacy Statement is to explain how we collect, store, use and share your personal information and show how we comply with global privacy laws.  

This Privacy Statement came into effect on 10 October 2023.

What personal information do we collect? 

We collect different kinds of personal information about you. We collect personal information from our customers, end users, suppliers, website visitors and application users. The types of information we collect depends on which products and services you use, how you use them, and our relationship with you. 

The personal information collected by us may include: 

  • Contact information: This is information verifying your identity to allow us to provide you with our products and services, and to communicate with you about the products and services you use. This information often includes your name, address, telephone number, email address, date of birth, the name of your company or employer and job titles.  
  • Financial information: We may collect your employment, financial and credit information, like your billing, transactional, payment or other financial information.   
  • Website, systems and application: We may collect information that relates to your activity on our website, systems and applications, and information collected via cookies and other technologies.   

Other information we may collect 

For our telematics customers and end-users who use our services and systems, we also may also collect:   

  • Sensitive personal information: We will only collect your sensitive information if it is relevant to the products or services we provide you. In Australia, sensitive information is specifically defined in the Privacy Act, and covers things like biometric and health information.  For any health or medical information, we will only collect that information with your consent where it is provided by you through the use of our products and services.   
  • Digital and device and location information: This information is technical information about the individual’s use of our products and services.  It may include IP addresses, device identification, location information, mobile telephone numbers, and information about your connection, including your device’s browser, operating system, and platform type. 
  • Vehicle and driver data: This is telematics data about you and the vehicle you drive. The data may include speed and driving information, including data derived from a vehicle, such as vehicle location and speed, and driving times. We may link vehicle and driving information to personal information. 
  • Australian Government related identifiers and identity documents. This includes information that you provide to us, such as tax file numbers and driver licence numbers to enable us to provide services to you, such as our tax solution.  
  • Camera surveillance: This includes still and video footage of drivers of vehicles using our products and services.  

Providing information on behalf of others  

Sometimes you may need to provide personal and/or sensitive information about other individuals to us, for example your authorised representatives (such as your personnel). In those cases, it’s your responsibility to tell those individuals you’re giving us their personal information, and to tell them about this Privacy Statement. We rely on you to do this 

Stay privacy smart whenever you’re online  

It’s important to note that our products, services and website often contain links to websites or platforms operated by third parties. These third parties do not need to comply  

with our Privacy Statement. We recommend checking the privacy statement of the site or platform you’re dealing with, to understand how they handle your personal information. Their privacy practices and privacy policies may be very different to ours. 

How do we collect your personal information? 

There are three main ways that we collect your personal information:  

  1. You give it to us 
    This might happen during any interaction you have with us and includes anyone acting on your behalf, such as your company. It covers a wide range of activities where you might give us information about yourself, for example when you set up an account, fill out a form on our website, chat with us online or over the phone, use one of our products and/or services, or contact us with a question.  
  2. We collect it ourselves 
    This is information we collect about you when you interact with us, or our product or services in some way. We might do this when you visit our website (including via cookies and other technologies) or use our products and services. And we may collect information about you when visit our premises.
  3. We get it from other sources
    These may include organisations like your company, regulators, or sources like marketing mailing lists or commercially available information sources that contain personal, identity, geographic or demographic information. We may also collect information about you from our related entities, business and commercial partners, along with our service providers, for example identity and fraud checking services we use.

Don’t want to share your information?  

We understand that you might not want to provide us with your personal information in certain circumstances. If that’s the case, keep in mind that we may not be able to provide you or your company with the products or services you need. 

How do we use personal information? 

We use your personal information for purposes including: 

  • To provide products and services to you: We use personal information to deliver our products and services and to conduct our business, including to: 
    • Administer, manage and deliver our products and services; 
    • Improving the quality and usefulness of our products and services; 
    • Developing new products, services and features (which includes using data to train the underlying models in our products and services); and  
    • To test and evaluate the performance or our products and services.  
  • Managing our operations and administration: We use your information to undertake the ordinary activities to run our business. 
  • Communicating with you: We use phone, email, mail, SMS, chat and social media to communicate with you. We may also provide you with personalised experiences withing search engines and web pages you visit.  
  • Improvement, development and analysis We are continually working to maintain and improve our products, services and processes and to develop new ones, and we may use your personal information to help us do that. For example, when we’re analysing use, quality, and performance, and when we are operating, maintaining, developing, testing and upgrading our products and services and the systems that we operate on.
    In some cases, we may create or share insights based on personal information, but if we do it’s always in accordance with our privacy obligations.
  • Direct marketing: We want to make sure you hear about products, services or special offers from us (or one of our entities) that you might find useful or interesting. We may use the personal information we collect and hold about you to market and promote products, services and special offers directly to you. 

You have the right to opt out of marketing communication from us. If you no longer wish to receive such communications, you can opt out or unsubscribe at any time via the opt-out information provided on communications you receive from us. Or alternatively you can contact us by email or phone to tell us your preference to stop receiving marketing communications. 

  • To comply with legal obligations: If it is required, we use your personal information to comply with the law, including our regulatory obligations, including sharing relevant information with law enforcement agencies, tax authorities and other regulatory bodies. 

We will provide specific information as required by applicable law about how we use your personal information based upon the particular service that we provides to you or to your company. 

How do we safeguard your personal information? 

We take customer privacy seriously. Keeping your personal information safe is vital for our business, and information security is a priority for the products and services we offer 

We have technical, administrative and physical safeguards in place to help protect against unauthorised access to help us protect your personal information from unauthorised access and disclosure.  

When do we share personal information? 

We work with our parent company, Telstra, and a range of external suppliers, agents, partners and contractors, who help us with our business processes and/or provide you with products and services on our behalf. We may share your personal information with these parties, who provide the following kinds of services: 

  • Managing, maintaining or administering our products or services, including customer enquiries and support services; 
  • Mailing operations, billing and debt-recovery functions;  
  • Information technology and network services; 
  • To develop our credit assessment and credit worthiness rating system; 
  • Fraud, crime or misconduct identification, investigation and prevention services; and 
  • Development, analysis and business intelligence functions. 

We may also share personal information with other parties, including: 

  • Your authorised representatives or advisers. 
  • Law enforcement and national security agencies, and other government and regulatory authorities as required or permitted by law. 
  • Other parties as required or permitted by law. 

Do we transfer personal information internationally? 

We have offices in New Zealand. We may transfer any data collected and stored in New Zealand to Australian for the purposes of providing our products and service. Any transfer and storage of personal information is made securely in accordance with our privacy obligations.  

Accessing and correcting your information 

You have the right to access and correct the personal information that we hold about you. You may do so by emailing us or contacting us through our contact details below. In order to better protect you and safeguard your information, we take steps to verify your identity before granting access or making changes to your information. 

There’s no charge to submit a request or correct your personal information. 

How can you make a privacy complaint?  

Your privacy matters, and we want to get it right. If you believe we’ve missed the mark, you can use our contact details to notify us of any privacy complaints you have against us. We will acknowledge your complaint in writing as soon as possible and will give you an estimated timeframe for when we will respond.

We reserve the right to make changes to this Privacy Statement, so please check back periodically for changes. You will be able to see that changes have been made by checking to see the effective date posted at the end of the Privacy Statement.
